Privacy Information Collection Notice

GEA collects and handles personal and sensitive information about students and parents for the purpose of managing enrolment, delivering educational services, and administering its operations. Failure to provide the required information may result in the inability to enrol or continue enrolment.

GEA may disclose personal information to service providers and third parties as necessary or as required by law. Some data may be stored in cloud services hosted outside Australia. If you provide third-party information (e.g., emergency contacts), please inform them accordingly.

Privacy Information Collection Notice

This Privacy Information Collection Notice (“Notice”) outlines how Global Education Academy (GEA) collects, uses, discloses, and manages personal information, including sensitive information, about students and their parents or guardians in accordance with the Privacy Act 1988 (Cth) and applicable State and Territory health privacy legislation.

________________________________________

1. Collection, Use, and Disclosure of Personal Information

GEA collects personal information about students and their parents or guardians before and during a student’s enrolment to fulfill its educational, administrative, and legal obligations. This includes, but is not limited to, information related to:

• Student welfare and academic needs;

• Health and medical circumstances;

• Communication and correspondence;

• Legal and compliance requirements.

Failure to provide requested information may impact GEA’s ability to enrol or continue the enrolment of a student.

GEA may collect information directly from individuals or indirectly from third parties such as medical professionals, previous schools, or emergency contacts. Personal information may also be disclosed to third parties for administrative, educational, legal, or medical reasons or as otherwise required or authorised by law.

GEA and its service providers may access, monitor, or disclose communications and system data as part of systems administration and compliance processes. Some data may be stored on cloud-based systems hosted outside Australia, in jurisdictions that may not have equivalent privacy laws.

________________________________________

2. Health Information

GEA may collect and retain student health information including medical histories, test results, disabilities, allergies, immunisation records, and any other data necessary to fulfil its duty of care. This information is treated as highly confidential and access is strictly limited to staff or medical professionals on a need-to-know basis.

Parents are encouraged to proactively inform GEA of any health conditions relevant to the student’s participation at GEA, even if such information has not been explicitly requested.

________________________________________

3. Access and Correction

Individuals may request access to personal information held by GEA and request corrections if the information is inaccurate, incomplete, or outdated. Access may be denied in certain circumstances, such as where disclosure would breach GEA’s duty of care or the privacy of others. Requests must be made in writing and may incur a reasonable fee.

Students may access and update their personal information through their parents or directly where deemed appropriate due to age or maturity.

________________________________________

4. Use of Personal Information

Personal information is used primarily for educational delivery and student support. Secondary purposes may include:

• Informing parents about student progress and activities;

• Administrative and legal compliance;

• Ensuring the safety and well-being of students;

• Marketing and promotional activities (subject to appropriate consents);

• GEA publications and newsletters.

Photographs, videos, or other images of students may be published in GEA’s promotional materials, social media, newsletters, or website unless parents opt out in writing.

________________________________________

5. Marketing and Fundraising

GEA considers marketing and fundraising activities vital to its future development. Personal information may be disclosed to third parties that assist GEA in these efforts, including alumni organisations or the GEA Family.

Parents may receive communications such as newsletters or promotional material that include personal information or images of students, unless an opt-out request is submitted.

________________________________________

6. Overseas Disclosure and Cloud Storage

GEA may disclose personal information to overseas recipients and store data using cloud-based platforms hosted outside Australia. This will only occur where:

• The individual has consented (explicitly or impliedly), or

• The disclosure complies with the Australian Privacy Principles or relevant privacy laws.

GEA ensures appropriate data protection mechanisms are in place for such transfers.

________________________________________

7. Sensitive Information

Sensitive information—including racial or ethnic origin, health and medical records, and biometric data—is only collected, used, or disclosed:

• With explicit consent;

• When required or authorised by law;

• When necessary to prevent serious threats to health or safety.

Such information is handled with heightened confidentiality.

________________________________________

8. Security of Personal Information

GEA has implemented physical, administrative, and technological safeguards to protect personal information against misuse, loss, unauthorised access, or disclosure. These include:

• Locked storage for physical documents;

• Password-protected electronic systems;

• Access controls and surveillance systems, including CCTV.

________________________________________

9. Surveillance and Monitoring

GEA monitors email and internet usage for operational and security reasons. CCTV cameras are used on campus for safety and property protection.

________________________________________

10. Parental Consent and Student Rights

GEA generally seeks consent from parents regarding the use and disclosure of student personal information. In certain circumstances, students may be allowed to provide or withhold consent independently, based on their age, maturity, and personal circumstances.

________________________________________

11. Complaints and Further Information

If you believe GEA has breached your privacy rights or mishandled your personal information, you may lodge a complaint through the process outlined in GEA’s Privacy Policy. GEA will investigate and respond in accordance with legal obligations.

________________________________________

12. European Union (EU) Residents

For individuals located in the European Union, additional rights may apply under the General Data Protection Regulation (GDPR), including:

• The right to withdraw consent at any time;

• The right to access, correct, delete, or restrict processing of personal data;

• The right to data portability (where applicable);

• The right to be informed of safeguards for international data transfers.

These rights may apply only in limited circumstances and are subject to legal conditions.

Enquiries and Complaints

• Clear but limited: It provides a basic complaint mechanism but lacks details on expected timeframes for investigation resolution or escalation pathways if the complainant is unsatisfied.

• No written process: Only provides a phone number—consider offering an email or formal written pathway for better accountability.

Fee Payment Policy

1. Fees & Accounts

• GEA reserves broad discretion to change fees without specific lead time.

• Recommend specifying a minimum notice period (e.g. 14 days) for fee changes.

2. Payment of Fees

• Enforces full-term payments unless monthly payments through Ezy Pay.

• Could benefit from clarity on penalties or terms around Ezy Pay defaults.

3. Late Enrolment

• Enforces minimum enrolment standards and full remaining-term payment.

• Denies flexibility even in cases of unavoidable absences, which may be seen as overly rigid.

4. Late Payment of Fees

• Strong sanctions: suspension from classes, withholding materials/results, referral to debt collection with 20% admin fee.

• No hardship policy is mentioned for families genuinely struggling to pay.

5. Discount Offers

• Conditions are strict, especially around deadlines, full-term payments, and ID upload requirements.

• GEA reserves the right to change offers without notice.

6. Mid-Term Course Change Rules

• No changes allowed except in narrow cases (OC/Selective due to academic struggle).

________________________________________

Credit & Refund Policy

1. Credit Requests

• No credits for school events, exams, personal events, or funerals.

2. Refund Requests

• Up to 25% admin fee (max $250) applies to refunds.

• Refunds require at least 14 days written notice before course starts—otherwise no refund.

• Policy clearly states how refunds are paid and to whom, which is good.

• GEA may deduct any outstanding fees/charges from the refund, which is standard.

🧾 Recommendations

1. Transparency: Clarify timelines for complaint handling and notice for fee changes.

2. Fairness: Consider offering more lenient provisions for unavoidable absences (e.g., bereavement, school-mandated exams).

3. Dispute escalation: Include an external complaint resolution body (e.g., NSW Fair Trading) for unresolved issues.

4. Hardship clause: Add a provision to consider financial hardship on a case-by-case basis.
